An agent texted me on a Friday afternoon in July. The listing appointment had gone well, the sellers wanted it live Tuesday, and could I shoot Monday morning with drone. I could do Monday morning. I could not do the drone, and that is the part nobody expects.
How far in advance you should book a real estate photographer in Grand Rapids is not one number. It is a different number for every piece of the shoot, and the piece with the longest lead time is the one that decides your list date.
The short version is three to five business days
For a standard interior and exterior shoot, three to five business days of notice is comfortable. That is enough room to hold a slot that matches how the house faces the sun, and enough room for your sellers to actually finish getting the place ready.
Less than that and you are hoping I have a hole in the calendar. Sometimes I do. In late July, with everyone in West Michigan trying to catch the last of the summer buyer traffic, usually I do not.
The add-ons set your lead time, not the photos
The base shoot is the flexible part. The extras are not.
Drone needs about a week. Real twilight is a separate trip on a separate evening. A 3D walkthrough tour adds time on site, which changes which slot I can hand you in the first place.
Essential at $245 I can often move quickly. Signature at $525, which includes drone coverage and the 3D tour, is a plan you make a week out whether you meant to or not.
Why drone is the seven-day item
This one is not a scheduling preference on my end. Plenty of West Michigan sits under the controlled airspace shelves around Gerald R. Ford International Airport, and flying there means getting authorization through the FAA's LAANC system before anything leaves the ground.
That means checking the grid for your exact address, filing for the right ceiling, and lining up a licensed Part 107 pilot who is genuinely free that day. Drone is a $125 add-on and comes included in Signature. The week of notice is what turns it into a plan instead of a coin flip.
Twilight is an evening, and the sun does not negotiate
Real twilight is $150 as an add-on and comes free with Showcase at $375 and Signature at $525. It is also the hardest single thing to schedule, because the usable window is roughly twenty minutes long and it happens once per day.
Right now the sun sets in Grand Rapids a little after nine, so a twilight shoot runs until nearly half past. By late September that window has slid to around 7:30. I can only shoot one twilight per evening, so if a listing going live next week needs it, that conversation has to happen today.

Weather is a reason to book early, not a reason to wait
Agents sometimes hold off on booking because the forecast looks unsettled. That is backwards. Booking early is exactly what buys you room to move.
If your shoot is on my calendar for Thursday and the National Weather Service office in Grand Rapids has storms tracking through Thursday afternoon, we slide to Friday morning and your list date survives untouched. If you booked Wednesday for a Thursday shoot, there is nothing to slide to.
Work backward from the list date
Here is the arithmetic I would actually use.
Start with your list date. Photos land the next business day after the shoot, so the camera has to show up at least one business day ahead of that. Give yourself another day to build the listing and get the seller to sign off on the gallery.
A Tuesday list date on a straightforward interior shoot means shooting Friday and having files Monday. That same Tuesday, with drone in the package, means booking by the Monday of the week before. Next business day turnaround is the one number in this equation you can hold steady while everything else moves.
When last minute still works fine
More often than agents assume. Vacant listings, condos, and smaller homes are the easiest things to slot into a gap, because there is no staging timeline riding on them. A price reduction that needs a fresh set of exteriors is usually a short reshoot, not a full session.
Travel is free inside roughly 25 miles of downtown Grand Rapids, so geography is rarely what blocks a same-week booking. Call (616) 258-4578 and ask. The worst thing that happens is I tell you the next open morning I have.
